Designing A Flex CPA Firm

Flexibility is an all encompassing term, and the definition has evolved based on the specific needs of your firm, team members and your clients.

The economic benefits of utilizing flexible staff make the first steps fairly easy.  It is not a “hard sell” to say I can get a high quality person and only pay them when I have work for them.

The harder part is executing and expanding the idea.  Maximizing the benefits of the Flex Firm Model requires changes in every aspect of operations and management.  Difficult choices need to be made at all levels and the investment of time and resources is required.

To aid in the develop of your Flex CPA firm, or if you are looking to implement certain aspects of flexibility within your already established company, below is a brief insight into potential flex options that you may be considering implementing at your firm:

100% Distributed Workforce

A distributed workforce is a workforce that goes above and beyond the typical office environment. In most cases, a distributed workforce will include technology that allows every employee at the company, access to work 100% remotely, from anywhere in the world.

Some remote working options offer the chance for their employees to work a few days a month from home. Others, like our firm, provide the option to our employees to work 100% remotely, from anywhere.

Having a distributed workforce has allowed our firm to retain top talent, including keeping a high performing manager who decided to make his move to Ecuador, just a few years ago.

In Person Part-Time Options

Some employee might want the option of reducing the normal amount of hours within a particular workweek.

A reduced hour arrangement offers employees the opportunity to work less than full-time work, either working a limited number of days a week, a limited number of hours per day, or a combination of these.

Remote Part-Time/Full-Time Options

Instead of working a reduced schedule, but still having to go into the office, a better option for your particular employee might be to work part time but 100% remote. This option tends to work best for our stay at home parents who are also still looking to advance their accounting career.

Plus, we do offer the hours for those employee who want to work 100% remote, yet still be on a traditional 40-50 hour workweek. Whatever the need of our employees is, we try and make it work for their professional and personal life.

Seasonal Workforce

This is a great option if you are in need of a workforce, for a short period of time. Let’s say your firm has a huge need during tax season but does not have any other work throughout the summer/fall.

By hiring on a seasonal workforce, you can bring on the talent when needed without the additional expenses of hiring on a full-time employee with benefits.

Accounting Contracting Roles

As mentioned in the previous seasonal workforce flex option, you can also bring in accounting consultants or contractors to fill the hiring need.

This can also be an option for you to get a good handle on this contractor’s work ethic and skillset. Then, you can decide to offer up a more permanent position if things do wind up working out for the firm and the contractor.

Sabbaticals

Some of the larger firms offer a 3-6 month sabbatical for those employees who fit within their criteria. This sabbatical could be offered to employees who are looking to continue their education, work on an accounting project without the noise of their typical day job or decided to take some vacation before jumping back into work full time.

Based on the firm, and options available, a sabbatical can either be paid or unpaid, depending on the purpose of the time off.

Compressed Workweek

This type of arrangement involves a standard work week compressed into less than five days. Some CPA firms offer 4 10-hour workdays with Fridays off.

Most of the time, when these compressed workweeks are implemented, it happens to be within the summer when the work has slowed down for that particular CPA firm.

Paid/Unpaid Time Off Options

Another CPA firm flex option is to allow time off, paid or unpaid. Some employees might want to take off for a few weeks to travel outside of their normal vacation slot. If this is the case, the employee can choose to have an unpaid vacation or reduce their overall salary to compensate for the time off taken.

A perfect example is if an employee wants to take 3 months to backpack through Europe. The employee can choose to have a reduction in their salary, based on the total days taken off outside of their vacation time. Then, continue to receive a salary each week throughout those 3 months, but just at a lower rate than if they were working there 100% full time.

Flex Days

This flex option provides you with the ability to take a day off (a Flex Day) when you may have worked long hours, or at the end of an assignment, or project.

It's a way to recognize the extra effort that's sometimes required in order to meet deadlines or commitments. It can be taken any day of the week and is available all year.

Flex Time

Flexi-Time refers to flexible work hours in which you have some choice in the pattern of your daily work hours, staggering the start and end times of your work day, while still working a regular length workday.

This works best for employee who want to leave work early to pick up their children from school, enjoy family dinner and then decide to jump back online after their children are asleep. Or, if an employee is taking college classes, they might want to option of staging their work schedule around their school classes.
